The Aurum Institute is offering a great opportunity to suitably qualified and experienced staff to contribute towards our mission to improve the health of people and communities through innovation in Health Research and Systems. We are focused on research, support and implementing integrated approaches to managing TB and HIV. The following positions have become available as part of the various projects currently being run by us and you are welcome to apply should you meet the requirements of the position.

Job Summary:

Technical Work Responsibilities:
Project Coordination/Management
Coordinating the day-to-day activities
Ensuring proper completion and documentation for regulatory submissions
Tracking and monitoring ethics and regulatory approvals
Ensuring proper completion, documentation, and reporting of project work
Track and monitor all activities within the project against the project work plan.
Setting up and maintaining programme-related files, databases, and records; collating and archiving project documents.
Coordinate, collaborate, and liaise with relevant stakeholders
Participate in project meetings to review project status
Reporting on the program/project deliverables.
Identify potential problems and challenges within a project and suggesting corrective action
Maintain contracts and communication with the sub-contracting companies/individuals where applicable

General Administration:
Assist with efficient planning, coordination, and implementation of meetings, conferences, workshops, and other events on the project, including booking and preparing venues, coordinating travel arrangements, preparing meeting materials, equipment, and other resources
Perform writing activities, including taking accurate notes of meetings, composing correspondence, and other related functions as required
Manages general office operations; processes and maintains files and documents (including meeting minutes and other project deliverables) for the project
Assist with scheduling project meetings, conference calls, and webinars
Assisting with procurement of necessary equipment and supplies for projects and maintaining adequate storage for the program equipment and supplies
Processing and keeping payment records
Perform other duties as required

Requirements:
Education:
•Undergraduate degree in Sciences, Social Sciences or Public health or related field.
•Master’s degree would be advantageous
•Certificate in project management, Business Admin or Office Administration is an added advantage
•Training in TB/HIV management is an added advantage

Work Experience:
•Minimum of 3 years experience providing coordination and administrative support for programmes
•Experience in the management of health programs is advantageous
•Other key requirements
•Basic personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, etc.
•Strong interpersonal skills and ability to work well with diverse partners and constituents
•Professionalism and sophistication in communications
•Possess strong time management and prioritization skills
•Highly organized, attention to detail, and a strong value for high-quality work products
•Independent work ethic and positive, self-starter attitude
•Willingness to engage in continuous learning and training, with a long-term ambition of being a researcher
•Experience, understanding of and interest in TB and HIV programs will be an advantage
